The rules, written honestly.
Last updated: 17 September 2026 · Effective: 17 September 2026
These Terms of Service are a legal agreement between you and Sift (the individual trading as Sift, based in the United Kingdom). By creating an account or using the app, you agree to these terms. If you don't agree, please don't use Sift. We've kept this as short and plain as possible.
1. Who can use Sift
You must be at least 16 years old to use Sift. By using the app, you confirm you are at least 16.
You must be a human. Automated access (bots, scrapers) is not permitted unless we've agreed to it in writing.
2. Your account
You are responsible for keeping your account secure. Don't share your sign-in codes with anyone. If you suspect someone has accessed your account without permission, contact us immediately at privacy@heysift.app.
One person, one account. You may use Sift on multiple devices, but your account must not be shared between different people.
3. What Sift provides
Sift is a personal productivity app. You can capture thoughts by text, voice, or photo. An AI classifies your entries into tasks, expenses, or notes. The classification is done by AI and may not always be perfect — we are not responsible if an entry is miscategorised.
Sift is not a financial advisor. The expense tracking feature is a personal logging tool only — it should not be used as the sole basis for financial decisions, tax submissions, or legal documents.
We aim to keep Sift running at all times, but we cannot guarantee 100% uptime. We may need to perform maintenance, update systems, or respond to incidents. We'll try to give advance notice of planned downtime.
4. Subscriptions and billing
Free plan
The free plan gives you access to Sift at no charge. Free-plan users get a limited number of AI-processed entries per day. Your data is stored on our cloud servers just like paid plans — the difference is the AI quota, not where data lives.
Paid plans
Paid plans (Cloud Brain at £4.99/month, and BYOK at £19.99/year) are billed through Google Play. By subscribing, you authorise us to charge the payment method linked to your Google account on a recurring basis.
Subscriptions renew automatically at the end of each billing period unless you cancel. You can manage and cancel your subscription at any time through Google Play — go to Google Play → Subscriptions. Cancelling stops future charges; you keep access until the current period ends.
We may change subscription prices in the future. We'll give you at least 30 days' notice before any price increase takes effect, and you'll always have the option to cancel before you're charged the new price.
5. Your content
You own everything you put into Sift. Your notes, tasks, expenses, and voice recordings belong to you. We do not claim any ownership over your content.
By using Sift, you give us a limited licence to store, process, and display your content for the sole purpose of providing the service to you. This licence ends when you delete your data or close your account.
You are responsible for what you put into Sift. Don't use it to store or share content that is illegal, harmful, or violates someone else's rights.
6. AI processing
Sift uses artificial intelligence to classify your entries and generate summaries. By using paid tiers, you consent to your content being sent to OpenRouter, an AI gateway service that routes requests to various large language model providers, for classification and summarisation.
Our agreements with AI providers prohibit them from using your content to train their models unless you separately agree to that with them directly.
If you use the BYOK plan and provide your own API key, your content is sent directly to the AI provider you've chosen. Their terms and privacy policy apply to that usage.
7. What you must not do
You agree not to:
- Use Sift for anything illegal under UK law or the law of your country.
- Attempt to access another user's account or data.
- Reverse-engineer, decompile, or attempt to extract the source code of the app.
- Use Sift to send spam, phishing messages, or any content designed to deceive others.
- Deliberately overload or attack our servers (distributed denial-of-service attacks, etc.).
- Resell, sublicence, or offer Sift as part of another service without our written permission.
- Circumvent any usage limits, quotas, or access controls in the app.
8. Ending your account
By you
You can delete your account at any time from within the app (Settings → Delete Account). Once deleted, your data is permanently erased within 30 days and cannot be recovered. Make sure to export anything you want to keep before deleting.
By us
We may suspend or close your account if you violate these terms, if required by law, or if we detect fraudulent activity. If we do this unfairly, you have the right to contact us and appeal. In the event we permanently close your account, we'll give you at least 30 days' notice (unless we're legally required not to, or your actions require immediate action to protect other users).
9. Disclaimer of warranties
Sift is provided "as is". We work hard to make it reliable and useful, but we make no guarantees that it will always work perfectly, be free of bugs, or be available at all times.
Nothing in these terms limits or excludes rights you have under UK consumer protection law, including the Consumer Rights Act 2015. Those rights are always protected.
10. Limitation of liability
To the maximum extent allowed by law, Sift's total liability to you for any claim arising from your use of the service is limited to the amount you paid us in the 12 months before the claim.
We are not liable for indirect or consequential losses — for example, business loss or missed opportunities arising from an entry being miscategorised. This does not affect your statutory rights.
11. Governing law
These terms are governed by the laws of England and Wales. Any dispute that we cannot resolve between ourselves will be handled by the courts of England and Wales. If you are based in the EU, you may also use the European Commission's online dispute resolution platform.
12. Changes to these terms
We may update these terms from time to time. If we make significant changes, we'll notify you by email at least 30 days in advance. Continuing to use Sift after a change takes effect means you accept the updated terms. If you don't agree with a change, you should stop using Sift and delete your account before the change takes effect.
